Operations Manager / Financial Secretary
Position Summary
The Operations Manager/Financial Secretary serves as the primary administrative support for the church and helps ensure the smooth day-to-day operation of the church office. This position provides administrative assistance to the Pastor, manages church records and communications, coordinates facility scheduling, and maintains confidential financial contribution records. The individual in this role serves as a welcoming first point of contact for members, visitors, and the community while supporting the mission and ministry of Osterville United Methodist Church with professionalism, integrity, and compassion.
This position is selected by the Pastor and the Staff-Parish Relations Committee (SPRC), reports directly to the Pastor, and works collaboratively with church staff, volunteers, committees, and the Treasurer.
Schedule
- 18 hours per week
- Typical office hours: 9:00 a.m. – 1:00 p.m., four days per week, plus 2 flexible hours as needed.
- The schedule may be adjusted to accommodate church events or seasonal needs.
- Due to the increased workload during Lent/Easter and Advent/Christmas, vacations during these seasons require prior approval from the Pastor.
Compensation
$20.00 per hour, based on qualifications and experience.
Primary Responsibilities
Administrative Support
- Provide administrative and secretarial support to the Pastor.
- Welcome members, visitors, and community guests with warmth, professionalism, and hospitality.
- Answer and direct telephone calls, respond to messages, and assist with general office inquiries.
- Prepare weekly Sunday bulletins, calendars, announcements, and worship materials.
- Maintain the church’s master calendar and coordinate scheduling for church activities and outside facility use.
- Coordinate room reservations, collect applicable fees, and communicate facility needs to staff and volunteers.
- Prepare reports and documentation for Church Conference and other denominational requirements.
- Complete and submit required statistical reports to the New England Conference.
- Coordinate required building inspections, including fire safety and elevator inspections.
- Attend and support church staff meetings.
Publications and Communications
Prepare, update, print, and distribute church publications and materials, including:
- Weekly Sunday bulletins and inserts
- Member directory
- Church Conference booklet
- Event flyers and posters
- Informational brochures and pamphlets
- Other church communications as needed
Financial Secretary Responsibilities
- Coordinate weekly counting teams and oversee the timely deposit of offerings and other church income.
- Accurately record pledges, offerings, donations, memorial gifts, and electronic contributions.
- Maintain confidential records of all individual giving.
- Prepare and distribute quarterly and annual giving statements.
- Reconcile contribution records with the Treasurer and QuickBooks.
- Provide weekly, monthly, and annual financial reports to the Treasurer and Finance Committee.
- Review monthly bank statements for accuracy.
- Assist in maintaining organized financial records for the annual audit.
Membership and Church Records
Maintain accurate membership and church records, including:
- Address changes
- Membership transfers
- Baptisms
- Marriages
- Deaths
- Other significant membership information
Maintain permanent church records in accordance with church policies.
Office Operations
- Purchase and maintain office and church supplies within the approved budget.
- Maintain organized office files and administrative systems.
- Support church committees and ministry leaders with administrative needs as appropriate.
Accountability
The Operations Manager/Financial Secretary is accountable to:
- The Pastor
- The Staff-Parish Relations Committee (SPRC)
Performance evaluations will be conducted annually by the Pastor and the SPRC.
Qualifications
Required
- High school diploma or equivalent.
- Experience in office administration, bookkeeping, or administrative support.
- Strong computer proficiency, including Microsoft Office (Word, Excel, Outlook).
- Experience with QuickBooks or similar accounting software preferred.
- Experience maintaining websites and social media platforms is desirable.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to maintain strict confidentiality regarding financial and personal information.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Ability to pass a CORI background check (provided by the church).
